An opportunity has arisen for a highly organized and detail-oriented individual to join the IT department as an IT Administrator.

This role is focused on IT administration, mobile phone management, and internal cost recharging. You will work alongside departmental managers to ensure accurate invoice processing, effective cost control, and efficient management of mobile devices and telecom services across the business.

Other duties may be required of the post holder in addition to those listed above and below, to ensure that the requirements of the business are met at all times.

Key Responsibilities:

We are seeking a proactive and commercially aware administrator who ensures IT financial and asset processes operate efficiently and transparently across all sites.

IT Invoice Administration

  • Process and reconcile IT supplier invoices including hardware, software, telecoms, licensing, and support contracts.
  • Validate invoices against purchase orders and agreed contracts.
  • Investigate and resolve invoice discrepancies with suppliers and internal stakeholders.
  • Maintain accurate financial records and supporting documentation.
  • Prepare monthly summaries of IT spend for review by senior management.

Mobile Phone & Telecoms Management

  • Manage company mobile phone accounts, contracts, and supplier relationships.
  • Order, configure, issue, and track mobile devices.
  • Maintain an up-to-date mobile asset register.
  • Monitor usage and ensure compliance with company policy.
  • Review tariffs and contracts to ensure cost efficiency.
  • Coordinate upgrades, repairs, and returns.

Internal Recharging & Cost Allocation

  • Prepare and process monthly internal recharges for mobile phone usage, software licenses, hardware purchases, and IT projects/services.
  • Work closely with Finance to ensure accurate cost allocation and journal entries.
  • Provide departmental managers with clear breakdowns of IT-related costs.
  • Ensure recharging processes are transparent, consistent, and auditable.

Ideally, we are looking for:

  • Experience in IT administration, finance administration, or telecoms administration.
  • Proficient in Microsoft Excel, including reporting and data analysis.
  • High level of accuracy and attention to detail.
  • Strong organizational and time management skills.
  • Ability to liaise confidently with suppliers, Finance teams, and internal stakeholders.
  • Commercial awareness and cost-conscious mindset.
  • Familiarity with IT asset management processes (desirable).
  • Strong team player.
  • Excellent written and verbal communication skills.
  • Confident communicator with polite telephone manner.
